What this policy covers

This policy explains what personal information Agent Circle (the "Platform") collects, why, and what rights you have over it. It applies to applicants, members, and anyone who contacts support. See also our Terms of Service.

Information we collect

We collect information you give us directly:

  • Application & account: name, email, phone number, MLS agent ID, DRE (license) number, brokerage, and your stated intended use, submitted when you apply
  • Profile: an optional bio, profile photo, and social media links. Your name, brokerage, and DRE number are shown on your profile to other members; your phone number and email are hidden from other members unless you choose to show them (Profile → Edit)
  • Content: listings, buyer needs, messages, and photos you post or send to other members
  • Support requests: name, email, phone number, and whatever you write in the note field when you contact support

We also collect a small amount of technical data automatically — basic server logs (IP address, timestamp), the last time you were active (shown to other members as a green "active" dot), post-view counts within the Platform, and error reports when something breaks — used only to keep the service secure and working, never to build an advertising profile.

How we use it

To run the Platform: verify membership eligibility, match listings with buyer needs, deliver messages between members, send account emails (approval, password setup, security notices), send match alerts and a weekly summary you can turn off any time (Profile → Notifications), respond to support requests, and keep the service secure. We don't use your information for advertising, and we don't build profiles about you beyond what's needed for the above.

We don't sell your data

We do not sell, rent, or license your personal information or Content to third parties. Your listings, messages, and profile information are visible only to other approved members of your chapter, and private messages only to the two members involved. One caveat: photos you upload are stored with an unguessable web address. They aren't listed anywhere publicly, but anyone who is given the exact link can open the photo without signing in — so don't upload an image you wouldn't want seen if its link were shared.

Service providers who process data on our behalf

We use a small number of infrastructure providers to run the Platform, each bound to use your data only to provide their service to us:

  • Vercel — application hosting, and storage for photos you upload
  • Sentry — receives error reports when something in the Platform breaks, so we can fix it
  • Neon — our database, where account and Content data is stored
  • Resend — sends account and notification emails on our behalf

Data retention

We keep your information for as long as your account is active, and for a reasonable period after in case you reapply or a legal or security need arises. You can request deletion at any time — see "Your rights" below.

Your rights

Regardless of where you're located, you can request to:

  • Access a copy of the personal information we hold about you — download it yourself any time at Profile → Your data
  • Correct inaccurate information — edit your profile yourself at Profile → Edit, or ask us for anything you can't change there
  • Delete your account and associated personal information — do it yourself at Profile → Delete account. Your personal details, profile photo, and uploaded photos not attached to a post are erased. Posts you made stay visible (closed, under "Deleted user") because other members' conversations on them depend on them, and any photos attached to those posts stay with them
  • Opt out of any sale or "sharing" of personal information — we already don't do either, so this is honored automatically

California residents have these rights under the CCPA/CPRA specifically; we extend the same rights to every member regardless of location. For anything the links above don't cover, submit a Data or privacy request via support — we'll respond and act on it promptly. We won't discriminate against you for exercising these rights.

Cookies

We use a single essential session cookie to keep you signed in. It's required for the Platform to function and isn't used for tracking or advertising, so there's no cookie consent banner — there's nothing optional to consent to.

Security

We use industry-standard measures — encrypted connections, hashed passwords, access controls scoped to your chapter and account — to protect your information. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of the data involved.

Children's privacy

The Platform is a professional tool for licensed real estate agents and is not directed to, or knowingly used by, anyone under 18.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
